JOB PURPOSE

We are looking for an Office Assistant who will ensure that our office runs smoothly, and create a work environment in which everyone feels comfortable.

Ultimately, we are looking for a unique individual who is able to strengthen our collective.

This is a full-time role in the office for 5 days a week.

Please note that this is a fixed-term position for a period of one year.

WHAT YOU'LL DO

• Responsible for reception and telephone support, all communications, and all organizational and administrative office activities; Manage office supply orders, including drinks, snacks, water, toiletries and other essential items needed for the smooth day-to-day operation of the office.
• Support the HR team in all matters, in particular with updating and maintaining office policies and procedures, ensuring that health and safety policies are up to date, managing and updating HR databases (new hires, terminations, vacations, sick leaves and employee benefits), drafting documents, and general administration; Support your colleagues in preparatory bookkeeping, and when it comes to business travel and organizing team building activities, you are the go-to-person, coordinator, and expert in our travel booking tool.
• Support the sourcing, ordering, and coordination of gifts for employees, including researching suitable options, requesting offers from suppliers, and coordinating orders.
• Assist in planning, organizing, and coordinating office events and activities that promote employee engagement, strengthen team spirit, foster connection and belonging, celebrate team achievements, and create a positive and welcoming office environment.

WHAT YOU'll BRING

• Speak and write English fluently; Have 3+ years of experience working as an office assistant or in a related field; Are highly computer literate and are expert in MS Office/Google Docs; Stand out for your service orientation and organizational skills; Are responsible, trustworthy and handle internal company matters discreetly; Have the ability to learn quickly new processes and tools; Have meticulous attention to detail and are very well organized; Have knowledge and experience in HR administration and processes; Have experience in finance and accounting (would be considered a plus!); Have a driving license B (would be considered a plus!).
