Job Summary:

The Department of Radiology at the University of Wisconsin-Madison School of Medicine and Public Health (SMPH) is seeking an Onboarding Coordinator (Administrative Assistant III) to oversee and manage all departmental onboarding activities. This role serves as the primary coordinator for onboarding staff, trainees, and other employee groups, including the annual onboarding of residents and fellows.

Working closely with the Associate Department Administrator, section supervisors, and administrative staff, the Onboarding Coordinator ensures a seamless onboarding experience by creating new employee itineraries/orientations schedules, coordinating training, tracking requirements, submitting computer system access requests (CSAR), and facilitating communication across multiple areas.

In addition to onboarding responsibilities, this position provides administrative support for departmental business operations and contributes to the efficient functioning of the Department of Radiology.

Key Job Responsibilities:

Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

• Prepares and audits complex records, edits documents, and reviews work done by others
• Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums
• Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
• Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations

Required Qualifications:

Minimum of two (2) years of professional administrative experience with a focus in onboarding, learning and development, human resources, program management or equivalent relevant experience

Experience with planning, organizing, and scheduling meetings.

Preferred Qualifications:

• Proficiency with Microsoft Office Suite
• Experience coordinating hiring activities.
• Experience creating onboarding itineraries.
• Professional experience in an academic, healthcare, or clinical setting
• Education: Bachelor's Degree Preferred
