Employer Job Description
From OnHires's posting. “We” and “our” refer to the employer.
About Us
The company is a Bay Area event design and production company specializing in large-scale, high-impact corporate events. We bring creative visions to life through innovative design, seamless execution, and exceptional client service.
The Opportunity
Our peak season is here, and we are building a bench of experienced freelance event planners we can bring in on a project basis. Our immediate need is from now through December 2026, with ongoing opportunities during future high-volume periods.
This is a freelance, project-based engagement. Each engagement covers one or more defined events. Great partners will be first in line for future projects, and for more permanent roles as Studio J grows.
What You Will Do
- You will take an event that has already been sold and creatively designed, and run it end to end, independently, as part of our team and under our brand.
- Planning and logistics
- Take the handoff of a sold event (proposal, design, budget) and own delivery from that point through wrap.
- Build and manage the event timeline, run of show, and production schedule.
- Coordinate vendors, rentals, and talent: confirm orders, timing, load-in and load-out, and on-site needs.
- Work with our production and warehouse teams so builds, decor, and logistics land on time.
- Track the event against its approved budget and flag changes early.
- Client relationship
- Be the organized, calm, client-facing point of contact for your assigned events.
- Run client check-ins, confirm details, and manage changes in a professional, Studio J-branded way.
- Event day
- Lead on site: setup, vendor management, run of show, troubleshooting, and teardown.
- Occasionally
- Support smaller proposals if needed. Most proposals will be complete before you are brought in.
What You Bring
- 6+ years of event planning experience, preferably corporate events.
- A track record of running events end to end without close supervision.
- Highly organized, detail-driven, and steady under pressure. The "clipboard person" everyone trusts on event day.
- Polished, warm client communication, written and verbal.
- Experience managing vendors and working within event budgets.
- Comfort with Google Workspace; event or project management tools a plus.
- Based in, or able to reliably work on site in, the SF Bay Area.
