About Us
At
The Pharmacy Hub
, we collaborate with pharmaceutical brands, manufacturers, health brands, telemedicine providers, and healthcare companies to deliver essential products directly to patients.
Our expertise allows us to seamlessly distribute pharmaceuticals, medical devices, and other healthcare products to consumers, ensuring greater accessibility and convenience.
Position Summary
The Pharmacy Hub is looking for a Head of Procurement to lead our procurement function and own the end-to-end sourcing, purchasing, and vendor management of both the pharmaceutical raw materials that supply our 503A compounding operations — APIs, excipients, and other compounding components — and the finished pharmaceuticals, medical devices, and other healthcare products that flow through our fulfillment operations.
This person will set our procurement strategy and own our supplier relationships, the purchase order lifecycle, and the material and product availability strategies that let TPH consistently meet production needs, partner SLAs, and patient demand.
Procurement gaps have a direct impact on patient access. In line with our mission of breaking barriers in healthcare through access, intervention, and affordability, this role makes sure the right products are available at the right cost and at the right time. The Head of Procurement works closely with Finance, Pricing, Inventory Control, Fulfillment, Client Success, and Operations to align purchasing with operational need and commercial commitments.
This position reports to the General Manager. Team structure is expected to evolve as the Procurement function scales.
Core Responsibilities
Purchase Order Management & Product Availability (~35%)
Manage the full purchase order lifecycle across pharmaceuticals, medical devices, and other healthcare products: generate POs from Inventory Control signals, track order status, confirm receipt, and resolve discrepancies
- Monitor par levels and reorder points with the Inventory Control Manager; respond to stock alerts and shortage signals with urgency to prevent fulfillment disruption
- Develop and execute shortage mitigation strategies when primary suppliers cannot meet demand, identifying alternative sourcing across wholesaler and manufacturer networks
- Ensure all inbound pharmaceutical shipments are DSCSA-compliant, coordinating with Inventory Control on transaction information (TI) and transaction statement (TS) verification
- Maintain procurement schedules and delivery windows that align with fulfillment operations and minimize receiving bottlenecks
- Vendor Management & Supplier Relationships (~25%)
- Own TPH's supplier relationships with major pharmaceutical wholesalers, direct manufacturers, and specialty distributors
- Negotiate pricing, service levels, delivery terms, and contract conditions; escalate strategic contract decisions to the Head of Pricing & Procurement
- Run regular vendor performance reviews covering on-time delivery, fill rate, cost variance, and DSCSA serialization compliance, and hold suppliers to agreed terms
- Lead qualification and onboarding of new suppliers, including documentation, compliance verification, and ERP setup
- Maintain a supplier master record with current contract terms, pricing agreements, lead times, and performance history
- Cost Management & Cross-Functional Collaboration (~20%)
Partner with Pricing on GPO contract utilization: confirm purchasing at contracted rates, flag opportunities to improve tier positioning, and surface variance between contracted and actual acquisition cost
- Provide Finance with accurate purchase cost data, chargeback reconciliation inputs, and spend reporting for COGS accuracy and month-end close
- Work with Client Success and Operations to understand demand signals, partner commitments, and upcoming volume changes that should shape procurement planning
- Coordinate with Fulfillment on inbound scheduling and receiving capacity so procurement timelines are operationally executable
Serve as the primary internal escalation point for product availability issues affecting partner SLAs, and communicate proactively with Client Success when supply constraints create fulfillment risk
Reporting, Analysis & Process Improvement (~12%)
Produce regular procurement reports: spend by category, supplier fill rate, cost variance versus contracted price, PO cycle time, and shortage frequency
Conduct ongoing spend analysis and total cost of ownership (TCO) modeling across product categories; bring cost reduction, consolidation, and sourcing opportunities to the Head of Pricing & Procurement
- Build and maintain procurement reports in TPH's ERP so leadership has consistent visibility into procurement performance and supply risk
- Improve procurement, vendor onboarding, and PO workflows, and write SOPs the Specialist can execute and that scale as the catalog and partner base grow
- Team Leadership (~8%)
Directly manage the Procurement Specialist: set expectations, give structured feedback, and build the Specialist's capability in sourcing, PO management, vendor communication, and compliance
How Success Is Measured
Success in this role is measured by concrete cost, availability, and compliance outcomes, tracked against the following KPIs:
Supplier price negotiations:
savings calculated as (prior price − negotiated price) × purchased volume, reported in dollars and as a percentage of spend. Target: 3–5% annual savings on addressable spend. Reviewed monthly.
Volume-based pricing:
share of key-supplier spend covered by volume or tiered pricing, plus savings captured by reaching those tiers. Target: at least 70% of top-supplier spend under volume pricing, with an additional 10% savings on API purchases. Reviewed quarterly.
Cost increase avoidance:
(supplier-proposed increase − accepted increase) × projected 12-month volume. Target: at least 50% of proposed increases avoided or reduced. Tracked per event, with a quarterly rollup.
Consolidated purchasing based on turns:
reduction in cost per order (freight, fees, and order count) from grouping purchases by each item's inventory turns. Target: 10–15% lower freight cost per order and fewer rush orders. Reviewed quarterly.
Supplier documentation readiness:
inbound shipments with complete documentation (COA, invoice, DSCSA) as a share of total inbound shipments. Target: at least 98% complete, with zero documentation holds. Reviewed monthly.
